How is the Veonics Photo Wizard used to mass-upload and match photos?

The Photo Wizard is essential tool when working on any print project of more than 10+ badge records. For best results, the Record Manager data fields must already include a unique identifier or photo filename before using the wizard.

Preferred Record Manager and Photo File Setup Prior to Use

For best results, and to avoid mismatching photos or other issues, confirm if there is presently a unique identifier in the badge data fields. A unique identifier field would be something like an employee ID which is commonly associated with a badge record.

  • If unique identifier present - Photo files must be named exactly the same as this value
  • Remember that files can always be renamed before upload to Veonics, either manually via a Right click > 'Rename' process or via re-export from original source with ideal filenames, if possible.

If no unique identifier fields are available in the badge data, then another kind of field can be created - 'Photo Filename'. This is a field that directly lists the name of the photo that will be uploaded and matched to the record in Veonics.

  • Badge data fields are created/edited via the Record Setup menu.
    • Create a field titled 'Photo Filename' and save/approve.
  • An example of a photo filename would be Scott_Michael_2024. File names can be anything as long as they can link to the data field.
  • File extensions like .jpg can be added but are not necessary. (The wizard will be able to match all file types)
  • When it's time to upload badge DATA - photo filename must be submitted as a header in the .csv or .xlsx file with exact accuracy

Using the Photo Wizard

  • Confirm the number of photos being uploaded is the same as the number of records to be matched (all photos are present)
  • In Record Manager screen - click on 'Photo Wizard' button near the upper-left side of the page
  • Click the '+Add' button to browse your PC or network drives for badge photos
    • Select multiple files using a shift+click, ctrl+a, or similar shortcut
  • Click 'Open' (in Windows) to continue back to Veonics where files will be prepared to upload
  • Click 'Next' at top right of page to begin upload
  • Upload will begin, status of processing will display and notify of errors if present
    • The "Match to Card" page will appear when finished
  • Around the upper-left side of the page, there is blank text field that will be filled out with identifiers (badge fields) and fixed text if necessary.
  • Use the drop down menu by hovering over gray arrow on right side of text box
  • Select the identifier that matches the photo file names
  • See example,

    • ^This would be for photos named only as the employee ID (i.e. 654321.jpg) -
    • Note that the extension ".jpg" is checked, this will add that text onto the formula

If unable to type space characters, or otherwise move identifiers around within this field in a functional way - open Microsoft Edge and browse back to the Photo Wizard. Skip back to this stage by clicking on "Step 2 - Match to Card"

  • Click 'Match' when ready
  • Matching process will begin, no status will be available. The waiting time determines whether a good formula was given for matching
  • A green notification near the top of the page will show how many badge records were matched to photos
    • Other information is available to the right, like how many uploaded photos remain unmatched, number of assigned photos, etc
  • To match all file types if multiple types were uploaded-
    • Uncheck the '.jpg' checkbox
    • Manually type in ".jpeg" at the end of the formula and click 'Match'
    • Repeat, with ".png" instead of ".jpeg"
  • Differences in file names and the Photo Wizard search and match tool will cause photos not to link to records
    • For large projects it is normal for a small number of records and photos to not match
      • This is due to missing photo files, misnamed photo files or space characters present in the file name
    • These will need to be handled one at a time in Card View in Record Manager
