How to process an order for RWE

  • Look for the order post post in IDME
  • Log in to the Veonics portal
  • Click on the Data Management tab
  • Type in RWE in to the search bar located underneath the title "Group Name" 
    OR
  • Type (3143) in to the search bar located underneath the title "ID"
  • Cycle status to "Approved"
  • Highlight all records and export the photos, (First name Last name)
  • Save the photos into a new order folder in the cust. file.
  • Create a new folder in the new order folder and title it "CROPPED!"
  • Open the "Remove.bg" application
  • Underneath output folder select "Change" (This will open a file explorer window)
  • Cycle to RWE and open the new order folder
  • Click on the folder that is named "Cropped!" After selecting you can close the pop up window
  • Drag and drop all your new photos to the "Remove.bg app" and click on start (This function will remove all the photo backgrounds and will save the new photos to the "CROPPED!" folder)
  • Open the Veonics portal and apply all the "CROPPED!" photos to the approved records
  • Highlight all the approved records and create a data export with the following headers:
    BADGE TYPE / FIRST NAME / LAST NAME / SITE CODE / SITE NAME / RFID NUMBER
  • Save the data sheet as an Excel workbook and create a last column with the header "TRACKING" (Keep the data sheet open as you will need to input information and use it for your shipping data sheet)
  • Print all the approved badges according to the print specifications listed in Hubspot
  • While the badges are printing open up a blank Excel sheet (Titled with todays date and save in the folder "!Order address sheets) + the master address sheet located in the cust. file
  • Copy the headers from the "master address" sheet to your new excel sheet
  • Copy the site names in the "RFID" data sheet and use the search function in Excel to find the same site name listed in the "Master address sheet"
  • Paste the whole line into the new Excel sheet, rinse soak and repeat
  • Modify your new Excel sheet to only have the following headers:
    COMPANY / ATTN: TO / ADDRESS / CITY / STATE / ZIP CODE (Save the data sheet again)
  • Drag and drop the new address sheet to pirateship, follow the prompts and print all your labels
  • Copy and paste the tracking numbers for the different locations in to the RFID data sheet in the tracking column
  • Once all the badges have been printed, collect from printer and QC
  • Input all the RFID numbers into the RFID section of your RFID sheet and save
  • Insert badges into brown mailers and ship out
  • Send a copy of the RFID data sheet to all the email addresses listed in Hubspot RWE notes section. DO not sent through SHAREFILE
  • Complete all the admin for the order.
