Use of Customer Badge Samples and Demonstration Materials

eXpress badging® respects the confidentiality, security, and ownership of all customer materials used in the course of a project. This includes, but is not limited to, printed badges, badge designs, customer artwork, virtual IDs (vID), screenshots, portal examples, demonstration records, and demo accounts that reference or resemble a customer’s environment.

As a standard policy, eXpress badging® does not disclose, share, display, or reuse customer badge samples or demonstration materials outside the customer’s project unless the customer has approved such use in writing.


📌 What This Policy Applies To

This policy applies to any customer-specific material, including:

  • Printed badge samples
  • Badge design proofs
  • Finished badge designs
  • Customer logos, artwork, and branding
  • Virtual IDs (vID)
  • Screenshots or images of customer-specific badge records
  • Veonics® Portal records or screen views tied to a customer
  • Customer-specific demo accounts or configured demonstration environments
  • Any sample, mockup, screenshot, or record that identifies, reflects, or could reasonably be associated with a customer

🚫 Standard Policy

Unless approved by the customer in writing, eXpress badging® will not:

  • Use customer badge samples for sales or marketing demonstrations
  • Show one customer’s badge, vID, or account example to another customer or prospect
  • Reuse customer-specific designs, screenshots, or configured portal examples outside the original engagement
  • Disclose customer-specific demo environments or account structures
  • Retain or display customer materials as public-facing or private demonstration assets

✍️ Written Approval Requirement

Customer materials may only be used as samples or demonstration materials when the customer has provided clear written approval.

Written approval must define, as applicable:

  • What specific material may be used
  • How it may be used
  • Where it may be shown
  • Whether it may be used internally, externally, or both
  • Any limitations on duration, audience, or format

If written approval is not provided, the material is considered not approved for disclosure or reuse.


⚙️ Approved Use Must Still Be Controlled

Even when written approval is granted, eXpress badging® reserves the right to limit use of customer materials in order to protect privacy, security, card technology integrity, and professional presentation standards.

Approved materials may still be subject to:

  • Redaction
  • Cropping
  • Deactivation
  • Removal of card numbers or identifying data
  • Removal of access control data
  • Use only in limited presentation settings

🧪 Demonstration Best Practice

Whenever possible, eXpress badging® will use one of the following instead of customer-specific materials:

  • Generic sample badges
  • Mock badge designs created for demonstration
  • Non-customer-branded virtual ID examples
  • Internal demo accounts built specifically for training or sales presentation
  • Redacted screenshots that do not identify a customer

This helps protect customer confidentiality while still allowing us to demonstrate capabilities effectively.


⚠️ Why This Matters

Customer badge materials often contain or imply sensitive information, including:

  • Employee names
  • Photos
  • Titles
  • Department names
  • Facility names
  • Brand identity
  • Badge numbering logic
  • Card technologies
  • Access-control-related information

For that reason, customer samples must be handled as customer-confidential materials, not as general demonstration assets.

Team members should assume that all customer badge samples, vID examples, screenshots, and demo account references are confidential by default.

If there is any question about whether a material may be shown, reused, or referenced, the answer is:
